Time zones in Settle

See times in your own time zone, and learn which dates never change.

Settle shows the time something happened in your own time zone. When you add a comment at 1:14 PM in New York, you and your team see it as 1:14 PM EDT if you are in New York, or 10:14 AM PDT if you are in California. Dates you plan around, like due dates and payment dates, stay exactly the same for everyone.

Set your time zone

  1. Go to Settings and select Profile.

  2. Open the Time zone field.

  3. Pick Automatic to follow the time zone of the device you are using, or search for a time zone. You can search by city, region, abbreviation or offset, for example "Chicago", "Texas", "PST", "India" or "+5:30".

  4. Select Save.

Times across Settle update right away. Your time zone is personal: it applies to you in every business you have access to, and it doesn't change what your teammates see.

Tip: Automatic is the best choice for most people. If you travel, Settle follows your device. Pick a fixed time zone if you want to keep seeing your home office's time wherever you are.

How times appear

Times show with a short time zone label, so you always know which zone you are reading.

  • In the US you'll see letters, for example 4:12 PM PDT or 9:30 AM EST.

  • In most other places you'll see the offset from UTC, for example GMT+1, GMT+5:30 or GMT+9.

  • Recent activity can read Today at 4:12 PM PDT or Yesterday at 11:05 AM PDT.

The label changes with daylight saving time, so a summer time reads PDT and a winter time reads PST.

What follows your time zone

Anything that records when something happened:

  • Audit trail and timeline entries on bills, invoices, purchase orders and payments

  • Comments and approvals

  • Created, Added and Initiated times in lists

  • Sync Center history and "last synced" times

  • Team members' last sign-in

A time late in the evening can fall on a different day in another time zone. For example, a bill added at 9:30 PM in California is added on the next day for a teammate in London.

What never changes

Calendar dates name a day, not a moment, so they look the same in every time zone. October 3 is October 3 for everyone. This includes:

  • Due dates, bill dates and invoice dates

  • Scheduled payment dates, debit dates, ETAs and arrival dates

  • Purchase order and work order dates, such as Issued and Arrive by

  • Your book close date

Payments use Pacific Time

Payment scheduling uses Settle's business day in Pacific Time (PT) for everyone, wherever you are. That keeps payment dates, cutoffs, weekends and bank holidays the same for your whole team.

  • The calendar shows the same first available payment day to a user in Tokyo and a user in California.

  • Cutoff times are shown in your own time zone. For example, a 1:20 PM PT cutoff shows as 4:20 PM EDT for a user in New York.

  • Your time zone setting never changes which days you can pick, or when a payment is sent.

For cutoff times and arrival estimates by payment method, see Determining payment timing.

Filtering by date

Date filters such as Last 7 days and This month on the Added date use your own calendar day. On date columns like Due date and Scheduled for, "today" is Settle's business day in Pacific Time.

Most of the time these are the same day. Late in the evening, or early in the morning if you are far from the US West Coast, "today" on a time column and "today" on a date column can be different days.

Emails

Emails that mention a deadline use the time zone saved in your profile. If your time zone is set to Automatic, those emails use UTC, because an email can't tell which device you'll read it on. To get deadlines in your own time zone, choose a specific time zone in your profile.

Exports and reports

Exported reports and CSV files keep their existing dates and times. They don't follow your Time zone setting.

FAQ

A time I'm used to has moved. Is something wrong?

No. Many times used to show in UTC without a label. They now show in your time zone, with a label.

My teammate sees a different time for the same comment.

You are probably in different time zones. Both of you are seeing the same moment, each in your own time.

Will changing my time zone change my due dates or payments?

No. Due dates, payment dates and payment processing stay the same.

What do vendors and customers see?

Vendors who sign in to Settle can choose their own time zone. People who open a shared invoice link without signing in see the sent time in their device's time zone.
