Sales orders overview

Sales Orders are shipments that are fulfilled by you, either to an individual or to a wholesale buyer.


Tracking sales orders

From the Sales Orders page, you can view key details for each order, including:

  • Date and time the order was placed

  • Sales channel

  • Payment status

  • Fulfillment status

  • Order total


Payment statuses

There are nine possible payment statuses for a Sales Order:

  • Created – The order has been created, but no payment has been recorded.

  • Pending – The payment is in progress but hasn’t been confirmed yet.

  • Partially Paid – A portion of the payment has been made.

  • Paid – The order has been paid in full.

  • Due – Payment is expected but hasn’t yet been received.

  • Payment Captured – The payment has been successfully processed and completed.

  • Refunded – The full amount of the order has been refunded.

  • Partially Refunded – A portion of the order amount has been refunded.

  • Voided – The order was canceled and no payment will be processed.


Fulfillment statuses

Sales Orders can have one of the following fulfillment statuses:

  • Created – The order has been entered into the system but not yet processed.

  • Unfulfilled – The order has not yet been shipped.

  • Scheduled – The order is scheduled for fulfillment.

  • Partially Fulfilled – Some items in the order have been shipped.

  • Fulfilled – All items in the order have been shipped.

  • Shipped – The order has been sent to the customer.

  • On Hold – Fulfillment is temporarily paused (e.g., due to inventory issues).


Margins & profitability on sales orders

View COGS, margins, and profitability directly within each Sales Order.

  • Weighted Average Cost (WAC) or Batch-based landed cost, based on your subscription tier

  • Total COGS per SKU

  • Gross margin ($ and %)

  • Profitability across all items in the order

Note:

  • Margin calculations use your catalog’s landed cost method (WAC for Launch/Accelerate, batch costing for Elevate).

  • Sales Orders without cost data will not display a margin view.

This visibility allows you to see how your actual costs affect the profitability of each sale.


Integration with WMS & sales channels

Settle integrates with various Warehouse Management Systems (WMS) and sales channels, including:

  • Veracore

  • Amazon FBA / FBM / Warehouse & Distribution

  • ShipBob

  • ShipOffers

  • Walmart

  • And more

These integrations allow you to view real-time fulfillment statuses, payment updates, and order contents directly from the Order Details page.

Wholesale orders are imported into Settle from your designated system of record. This ensures your data stays consistent across platforms.

How do sales orders impact my End-of-Month (EOM) reports?
Sales orders are a crucial part of EOM reporting. They help determine units sold, which informs COGS (cost of goods sold) and inventory write-offs.

Do sales orders decrease my inventory levels in Settle?
Yes, each sales order automatically decreases inventory levels in Settle, ensuring your stock levels remain accurate.

What future features will sales orders support?

Why might I see inventory discrepancies on Amazon?

Minor inventory variances—typically around 10%—are common on Amazon due to the platform’s fast-moving sales volume and frequent fulfillment center updates. This is generally considered normal and expected.
