Explains how to integrate WMS with Settle through Trackstar API for managing catalogs, syncing inventory, creating receipts, tracking orders

Settle's Warehouse Management Systems (WMS) integration allows businesses to manage their product catalog, sync daily inventory updates, streamline receipt creation, and track order and fulfillment information.

The WMS integration is setup via Trackstar. This tool is a connector that makes it easy for Settle to support integrations with many different WMS platforms.

Setting up the integration

  1. Set up the integration either from your Catalog page or the Integrations page.

  2. Navigate to Settings >> Integrations. Click Connect under the WMS header. Scroll through the WMS options and select the WMS you use today. Enter the credentials you use to access this WMS.

  3. Wait for the credentials to be validated. Once you have successfully logged in, you will see your products begin importing.

Configuring sync settings

After connecting your WMS, you can further configure your sync settings from the default setting of Read only.

When the permissions are set to:
Read: the associated items will be imported to Settle
Read and Write: the associated items will be imported to Settle and any updates made to the Universal Catalog will be reflected in your WMS


Integration overview

The WMS integration supports 4 sources of data integration:

  • Catalog management

  • Inventory information

  • GRN (Receipt) creation

  • Order and fulfillment syncing

Catalog management

The WMS integration allows you to keep your SKUs updated across all of your integrated systems. Where possible, you can push new SKUs or changes to SKUs made in Settle to your WMS. Depending on your WMS and sync settings, this may be a one-way or a two-way sync.

Selecting which items should be imported

  • Once you've set up your WMS integration, your Catalog page may show an error: "Unknown catalog items found in external systems."

  • Select Review, which will take you to the Sync Center. Open it, and you'll see all SKUs from your WMS.

    • If the SKU is already in your catalog, search for it under the Name column in the Internal section. You can map it to the existing SKU and select Merge.

    • If the SKU doesn't exist, click Create, and it will be added to your catalog.

Pushing SKU updates to your WMS

If your sync settings are configured to “Read and Write,” Settle will update your WMS with changes made in Settle:

  1. Navigate to the Catalog page.

  2. Find the SKU you want to be updated in your WMS.

  3. Click the three dots and select the "Push updates" from the dropdown.
    Note: this step is only necessary if you'd like to manually push an update. Otherwise, this step isn’t required as a sync will automatically run daily to keep your WMS up to date.

Inventory information

  • Inventory information is ingested no less than once per day.

GRN (Receipt) creation

  • GRNs (Receipts) are auto-ingested from your WMS.

  • Optional: If read and write permissions for GRNs are enabled, you can receive inventory in Settle.

Order and fulfillment syncing

  • Orders and their fulfillment status are auto-ingested from your WMS. If you have order information imported to Settle from other platforms, order information will be matched to those orders.


Maintaining the integration

  • Once the integration is setup, you can make changes to the default settings for the WMS that is connected. Additionally, you can add additional WMS connections as needed.

  • Note that if you remove the connection, this will not remove historical data.


Troubleshooting

If you encounter issues while pushing SKUs:

  1. Not all WMS integrations support bi-directional sync. If you encounter a 404 error, it may indicate that your WMS doesn't support this feature.

  2. Check your integration settings to ensure "Push" is enabled for Catalog items.

  3. Verify that your WMS credentials are up-to-date.

  4. Check the sync center to make sure there aren’t any error messages. Any problems with the inventory sync are surfaced in your Sync Center.

  5. If problems persist, contact Settle support for assistance.
