Working with transfers for your inventory

Transfers allow you to move inventory between different locations within your ecosystem (e.g., from Warehouse 1 to Warehouse 2). When you initiate an Inventory Transfer in Settle, an email will be sent to your location contacts. This will notify the sending organization of the transfer request and, if WMS integration is enabled, inform the receiving organization of the ASN (Advance Shipment Notice).

Create a transfer

  1. Navigate to the Transfers tab on the left-hand side of your screen.

  2. Click the "+ Create Transfer" button at the top right of the screen.

  3. Fill in the relevant information, including:

    • Sending location

    • Receiving location

    • Transfer number

    • Issued on

    • Arrive by

    • (Optional) Shipping number

    • Note: The "Issued On" date is automatically set to the day you create the transfer, but you can change it if needed.

  4. To add line items to the Transfer, enter the Item name, and quantity to transfer. The SKU field is equipped with a search function, so you only need to remember the name of the item, and we’ll look up the SKU for you.

  6. Once all the information is filled out, set the status to “Open” and save your changes by selecting the "X" button.

Transfer statuses

Statuses help you organize your Inventory Transfers. On the Inventory Transfers page, you can filter your view by statuses. Settle currently supports 4 statuses:

  • Draft: An Inventory Transfer that is being prepared.

  • Open: An Inventory Transfer that is awaiting fulfillment.

  • Closed: An Inventory Transfer that has been fully received.

  • Canceled: An Inventory Transfer that will not be fulfilled.


Receive a transfer

  1. Go to the Transfers tab in the left-hand navigation bar and select the transfer you want to receive.

  2. Click the “Create GRN” button.

  3. Update the fields in the Inventory Transfer details panel on the right side of your screen. This includes the Vendor, GRN # (which is auto-populated but can be changed), Memo, Delivery, Contact information, and Quantity Received. You can also link any PO or Bill to the GRN. The Transfer will automatically link to this GRN, and once all items are fully received, the Transfer status will change to "Closed."

  4. To save the GRN, select the "X" button.


FAQs

How does a transfer impact my inventory levels?

  • When a transfer is initiated, the inventory count is deducted from your available inventory at the sending location. Once the inventory is received at the destination, the available inventory is updated accordingly.

How does auto-closing a transfer work?

  • If the quantity of inventory received matches the transfer order, the transfer order will be automatically closed.
