This article describes how to set up and configure your accounting software settings in Settle. A list of common QuickBooks Online issues and fixes can be found here.
Settle integrates with QuickBooks Online and NetSuite to make your bookkeeping easier. Linking is a one time process that, once completed, allows you to see invoices paid through Settle on your accounting software in real time. It may also help speed up the underwriting process if you've applied for Extended Payment Terms (EPT). To sync your Settle account with QuickBooks Online or NetSuite:
Head to Settings > Accounting from your sidebar.
Select either QuickBooks or NetSuite to start the account linking process. Follow the steps to complete set up.
Syncing to QuickBooks/Netsuite
Setup
Once Settle is connected to your accounting software, it is able to read and import the latest data from QuickBooks or NetSuite. You can then configure Settle to write to your accounting software to keep it up to date with the latest data from Settle.
From Settings > Accounting, click the "Configure" button next to "Configure writing" to begin setup.
Enable the toggle for writing to your accounting software. Then, map your bank accounts in Settle to their corresponding accounts in QuickBooks/NetSuite.
To avoid duplicate bills, disconnect your prior bill-pay services (like bill.com) from your QuickBooks/NetSuite.
Advanced Settings
By default, Settle will automatically sync to your accounting software (if you have enabled writing), but this can be disabled under advanced settings.
When syncing Settle will ignore bills with issue dates prior to your sync start date.
Sync Behavior
Only categorized bills and vendor credits will sync successfully. If an invoice is not assigned a general ledger (GL) account, it will not sync with your accounting software.
For new bills: When an invoice is added to Settle via either manual file upload or forwarded email, a new bill will be created in your accounting software.
For a bill that already exists in your accounting software: If the invoice you upload to Settle is tied to an existing bill in your accounting software, two things can happen:
You can upload an invoice manually or forward the invoice to your Settle inbox email address, as usual. Settle will attempt to automatically match the invoice number and amount to the preexisting bill.
If Settle is unable to match the invoice to a preexisting bill, if the bill does not contain enough identifying details, or if you just want to pull a bill from QuickBooks Online/NetSuite into Settle, you can choose to manually import the bill by selecting Import from QuickBooks/NetSuite after selecting + Add Invoice from any page within your Settle account.
Bills can be excluded from syncing to your accounting software by clicking the three dots at the top right of the payable and selecting "Stop Syncing."
