Creating purchase orders with matrix line items

Purchase Orders (POs) with matrix line items are designed specifically for fashion brands, making it easier to order across multiple sizes, colors, and style variations.


How to create a purchase order with matrix line items

1. Start a new purchase order

  • Navigate to the Purchase Orders page.

  • Click Create New PO and select a vendor.

2. Switch to matrix view

  • In the line item section, use the View switcher to toggle between the default List view and the new Matrix view.

  • The Matrix view allows you to enter quantities in a size × color grid for easier management of product variations.

3. Add a product

  • Click Add Item to open the selection modal.

  • Search for a Product or a specific variation.

  • Select the desired product (e.g., Basic Additions).

  • If multiple variations exist, select the property values (e.g., sizes, colors) you want to include in the PO.

If the item was imported from Shopify, a preview image will display if available.

  • Click Add Item. This creates a Product Group in your PO.

  • All quantities start at zero. No line item is created until a quantity is entered.

4. Enter quantities

  • Input quantities directly in the matrix grid:

    • Example: Red M = 10, Red XL = 5, Black M = 3, Black XL = 0

  • Line items will automatically be generated based on the quantities entered.

Switching back to List view reflects the same line items—both views remain fully synchronized.

5. Update product

  • To modify a product, click Edit Item Selection.

  • Add or remove property values (e.g., add white color).

  • Rows will appear in the matrix view, but only items with quantities > 0 will appear in the PDF.

6. Grouping & sorting

  • Default grouping: Size is displayed as columns.

  • Change grouping to Color if needed.

  • Sorting in the matrix view is reflected directly on the PDF.

7. Set line item costs

  • Enter unit costs for each line item.

  • Bulk-edit costs for multiple line items.

  • The system calculates default costs based on catalog-item properties.

  • Cost ranges are displayed when line-items have varying costs.

Individual unit cost editing per line-item is not available in Matrix view yet, but bulk editing is supported.

8. Remove rows or groups

  • Remove individual rows or entire product-family groups.

  • All associated line items are deleted from the PO and PDF.

  • Tooltips guide users when a row cannot be deleted due to view constraints.

9. PDF layouts

  • PDFs automatically reflect the Matrix view quantities.

  • Use the orientation toggle (portrait/landscape) to optimize PDF layout.

  • Only line items with quantities > 0 are displayed on PDFs.

10. Sync between views

  • Any line item created in List view appears in Matrix view and vice versa.

  • Users can choose the view they are most comfortable with without losing data.

  • The last selected view is saved and used as the default for new POs.
