This guide walks you through how to add and manage your firm's users directly from the client portal. Managing users this way ensures that team members are set up correctly, without taking up client-side user slots.
Where to add firm users
All firm team members should be added and managed from the Team Members tab in your client portal—not from within individual client accounts.
⚠️ Adding users from a client’s page will count against the client's user limit. Use the portal’s Team Members section instead.
How to add a new firm user
Log in to your firm’s client portal.
Click Team Members from the left-hand menu.
Click the Add Team Member button in the top-right corner.
Enter the email address of the new user. This will send them an invite to log in.
Choose a permission level:
Client Portal Manager – Admin access. Can log in, manage team member permissions (including their own), and assign client access.
Client Portal Team Member – Can only access the client accounts that have been assigned to them by a Portal Manager.
Click Send Invite.
Once the user accepts the invitation and logs in, they'll appear in your Team Members list.
How to manage user access
If you're a Client Portal Manager, you can edit other users' access and assign new clients.
To manage access for an existing user:
Click their name in the Team Members list.
Review the list of client accounts they currently have access to.
To adjust access:
Edit permission levels per client as needed.
Click Save to apply changes.

To assign a new client to the user:
Select the "+ Assign a new client" button at the bottom right of the page.
Select a client from the dropdown (must already be set up in the portal).
Set access level, then click Save.
Best practices
Always add firm users through the Team Members section of your client portal.
Avoid adding firm users from inside individual client accounts to prevent them from taking up client-side user slots.
Use roles to control access and make sure each team member only sees what they need.
