Weโre excited to have you on board! For businesses using our Launch plan, this guide will help you set up your Settle account. We'll walk you through the basics to get up and running. This will include creating your product catalog, connecting key integrations, confirming vendor profiles, and completing your first actions.
1. Get started: create your account
๐ Use the link in your welcome email to access the account setup page.
Enter your name, email, and business details.
Complete the business verification by providing business owner details.
Log in to your new Settle account.

2. Build your product catalog
Your catalog is the foundation for a number of potential workflows you'll use. These include itemizing bill line items, managing purchase orders, and/or tracking landed costs. Creating a solid catalog sets you up for fully leveraging any or all of these tools.
Navigate to Catalog.
Click Add Product and enter details:
Product Name & Description
SKU (Stock Keeping Unit)
Inventory Unit of Measure (UOM)
Any relevant labels or identifiers

3. Connect your accounting software (optional, but recommended!)
Easily sync vendor and financial data for seamless tracking.
Go to Integrations or Settings.
Select your accounting software (e.g., QuickBooks).
Follow the prompts to log in and authorize Settle.
Map your accounts and categories.
Start with read-only permissions, then switch to read/write after verification.

4. Add & manage vendors
If you connected your accounting software, your vendors will be automatically imported! Otherwise, you can manually add them:
Go to Vendors.
Click Add Vendor and enter:
Name & Contact Details
Country & EIN/TIN
Payment Terms (for cash flow tracking)
Bank Account Info
Not paying a vendor through Settle? You can still create them and mark invoices as paid externally.

5. Link vendors to your catalog
This ensures your purchase orders auto-fill vendor details!
Open Catalog and select a product.
Enter vendor-specific info:
Purchase Price (cost from the vendor)
Lead Time (estimated delivery time)
Vendor SKU (if different from your SKU)
Unit of Measure Conversion (if applicable)

6. Create your first Purchase Order (PO)
๐ฆ Ready to place an order? Follow these steps:
Go to Purchase Orders.
Click Create New PO.
Select your vendor.
Add catalog items to the order.
Confirm quantities, prices, and delivery details.
Submit your PO!

7. Bill Pay: pay vendors with ease
๐ฐ When you receive a bill, hereโs what to do:
Go to Bills.
Choose how to add the bill:
Manual Entry: Enter vendor, invoice number, due date, and amount (a PDF is auto-generated).
PDF Upload: Upload the invoice and let Settleโs OCR technology extract key details.
Review and schedule payment.
Confirm payment and link the bill to a Purchase Order.
